    Should you reply ‘OK’ to your boss? 7 tiny workplace messages that can sound ruder than you intend

    You type one word, hit send, and go back to your day. Your boss, meanwhile, is staring at “OK” wondering if they’ve done something wrong. This is the strange physics of workplace texting: the shorter the message, the more room it leaves for someone to think more, so much so that a two-letter message can often feel like decoding a verdict.We might not even realise, but sometimes short replies, missing punctuation, and phrases like “per my last email” are the most likely ones to be misread as cold, annoyed, or dismissive, even when the sender meant nothing by them.Power dynamics make it worse: the same word from a boss lands very differently than from a peer, because employees tend to over-read messages from people who control their paycheck.Well, none of this actually means that you need to write an essay every time you reply to a text or email; it just means a handful of everyday phrases can be more emotionally heavy than what we might imagine them to be!Here are some messages that can sound unintentionally rude:

    Internet linguist Gretchen McCulloch has explained in her YouTube video that a bare “OK” reads flat because it lacks the friendliness that people expect online, like an exclamation point or “kk.” But sometimes, employees tend to over-analyse the short replies, even though bosses might rarely spend that much time thinking about talking back.

    “Noted” sounds fine in your head, but on the other end it can feel like a door slamming shut. A study by psychologist Justin Kruger and other researchers found that people consistently overestimate how well they get their tone across in writing, because they can “hear” their own intended meaning while the reader can’t.Another workplace communication review found that over 90% of professionals say they’ve received an email or message that sounded ruder than the sender probably meant. This is because an empty “noted” can sometimes be misinterpreted as “I don’t care” when you meant ‘okay, taking it up’. So, a small change like “Noted, I’ll follow up” can just do things right.

    A 2023 Preply survey of 1,000 Americans found this phrase was rated the single most passive-aggressive line in office communication, and 83% of respondents said they’d received an unsaid but hostile message at work that might read like “did you even read what I sent?”.So, instead of just writing that, adding “Following up on the note I sent last week” might just help to get the same reminder across without looking like being scolded.“K”Just write the letter “K” instead of “OK”, and the meaning and intention change completely. For most people, this is not an abbreviation; it is annoying. It feels like someone slamming the brakes on a conversation, even if that’s not what was meant. And it gets worse with timing. Google researchers found that people start feeling ignored if a reply takes longer than about 20 minutes. So if a “k” is written after a long silence, it doesn’t come across as “I was busy”, it is mostly understood as “I’m done talking to you.”

    Punctuation carries far more weight in a message than we even realise. A period after a one-word reply, “Fine.”, often comes across as the final word, while the same word without punctuation feels neutral.

    Sure.

    “Sure” is meant to be agreeable, but devoid of tone, it can just as easily read as reluctant or sarcastic, especially when it comes across with a period instead of a following sentence. Research from Florida International University found text-based exchanges limit the visual and vocal hints people depend upon to judge the intention behind the words.

    This phrase is often used to create a record rather than to genuinely recap a conversation, and colleagues can sense the difference. It is more or less a formal way of mentioning, “you agreed to this, don’t backtrack now.”There is nothing wrong with documenting decisions, but it is better to begin with the actual outcome and mention, “Confirming that the meeting will take place on Monday at 10 a.m.” This sounds clear and informative rather than defensive.
